This Privacy Policy explains how Magentic (“Magentic”, “we”, “us”) collects, uses, and protects information when you visit our website, book a discovery call, request a quote, or engage us to build, deploy or maintain AI agents or for an AI audit. By using our services you agree to the practices described here.
Magentic is a trading name of [your full legal name], an independent sole trader (trabalhador independente) established in Portugal and operating under the Portuguese “recibos verdes” regime. Information we collect
Information you provide. This includes your name, email address, and details about your business, tools, and workflows that you share with us on a discovery call, in a quote request, in an interview, or in a project brief, along with any messages you send us. When you pay a fee, your payment is processed by a third-party payment provider; we do not store full card details on our systems.
Quote requests. When you request a quote through our website, we collect your name and work email, and, if you choose to give them, your company name and website. We also collect the service you are interested in, your brief (what the agent should do and the result you want), and, optionally, the tools it needs to work with, your timeline and a rough budget. With the request we record how you reached the form, such as the button you clicked, campaign tags in the link, or the website that referred you, and, where our analytics is running, the analytics identifier of your visit, so we can see which pages lead to requests.
Information collected automatically. Like most websites, we may collect basic technical data such as your device type, browser, and pages visited, through cookies and similar technologies, to keep the site working and understand how it is used.
How we use your information
- To provide the services you engage us for: building, deploying and maintaining AI agents, and AI audits and roadmaps.
- To answer your quote request and follow up on it.
- To schedule and conduct your discovery call.
- To communicate with you about your engagement and our services.
- To operate, secure, and improve our website and services.
- To comply with legal obligations.
Quote requests: protection, storage and use
Our quote form is protected by Cloudflare Turnstile, which checks that a person, not an automated program, is sending it. To do this, Turnstile processes technical information about your browser and device, and your IP address.
When you send the form, your request is stored as a lead in our own account on Qoren, the agent platform we build and run, whose database is hosted by Convex. We are notified of each new request by email, sent through Resend.
We use the details in a quote request only to answer your request and follow up on it. If your request leads to an engagement, it becomes part of that client relationship and is kept as described under Data retention. If it does not, we delete it no later than 24 months after our last contact with you.
Confidentiality and AI training
What you tell us on a discovery call, in a quote request, in a team interview, or in a project brief is treated as confidential. We use it only to understand your business, answer your request, deliver the work you engage us for, and scope any further work. It is not used to train any AI models, neither ours nor those of the third-party AI providers we work with.
Cookies and analytics
We use PostHog, a product-analytics tool, to understand how visitors use the site, for example which pages are viewed and which buttons are clicked, so we can improve it. By default this runs in a cookieless, anonymous mode: nothing is stored on your device, and usage is tied to a temporary random identifier that is discarded when you close the tab, so we cannot recognize you across visits. When you first visit our site, a banner asks for your consent to analytics cookies; only if you accept do we store an identifier in your browser so we can recognize you on return visits. If you decline, analytics stays in the anonymous, cookieless mode and no analytics cookies are set. A small, strictly necessary entry in your browser’s storage may be used to remember your choice so we do not ask again. You can change your mind at any time by clearing this site’s data in your browser, which brings the banner back.
When we run advertising, we also use the Google tag (Google Ads and Google Analytics) in Google’s Consent Mode. Until you accept the banner it stores no advertising or analytics cookies on your device, though it may send Google limited signals without cookies, such as that a page was viewed, a call was booked or a quote was requested, so results can be measured in aggregate. We also use Ahrefs Web Analytics, which is cookieless, to count visits.
How we share information
We do not sell your information. We share it only with service providers who help us operate, such as payment processing, call scheduling, website hosting, form protection (Cloudflare), database hosting (Convex), email delivery (Resend), product analytics (PostHog), advertising measurement (Google), and AI infrastructure; when required by law; or in connection with a business transfer such as a merger or acquisition. Service providers are permitted to use your information only to perform services for us.
International transfers
We are based in Portugal, but some of our service providers (including PostHog, Cloudflare, Convex, Resend, Google, and our hosting and AI infrastructure providers) may process your information outside the European Economic Area, including in the United States. Where that happens, we rely on appropriate safeguards, such as the European Commission’s Standard Contractual Clauses, to protect your information.
Legal basis for processing
Where the GDPR applies, we process your personal data on the following bases: to perform our contract with you (delivering the services you engage us for), or to take steps at your request before entering into one (answering a quote request or a call booking); your consent (for analytics and advertising cookies, which you can withdraw at any time); our legitimate interests in operating, securing, and improving our services, including protecting our forms from spam and abuse; and compliance with our legal obligations.
Data retention
We keep your information for as long as needed to provide our services and for legitimate business or legal purposes, after which we delete or anonymize it. Quote requests that do not lead to an engagement are deleted no later than 24 months after our last contact with you.
Security
We use reasonable technical and organizational measures to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your choices and rights
Depending on where you live, you may have the right to access, correct, delete, or port your personal information, to object to or restrict certain processing, and to withdraw consent at any time. To exercise these rights, email us at hello@magentic.studio and we will respond as required by applicable law. If you are in the EEA and believe we have not handled your data properly, you also have the right to lodge a complaint with your local data protection authority. In Portugal, that is the Comissão Nacional de Proteção de Dados (CNPD).
Children
Our services are intended for businesses and are not directed to children under 16. We do not knowingly collect information from children.
Changes to this policy
We may update this policy from time to time. When we do, we will revise the “Last updated” date on this page. Significant changes will be communicated where appropriate.
